How to choose school management software: a checklist

One good demo, then a term of surprises. Seven steps and a checklist stop that happening.

Most schools choose software after one good demo, and find what it did not show a term later. This guide puts choosing school management software in order: what to settle first, what to ask, and what to get in writing.

Before you look at any product

Write down three things no vendor can answer for you.

  • What hurts most today. Slow results, fees nobody can reconcile, or a paper register. Name one or two problems, not ten.
  • How the school is made up. Your students, and how they are organised: sections, classes, levels or arms. A nursery, a secondary school and a tertiary institution each arrange these differently.
  • How steady your internet and power are. This decides whether you need anything on site.

A fair test: put the same questions to every vendor, in the same order, and write the answers down on the day.

The steps

What to do, and the question to ask. No technical person needed.

  1. Name the problem you are buying for

    Pick the one or two jobs that must work from day one. Judge every product on those first.

  2. List everyone who will use it

    The bursar, class teachers, subject teachers, the exam officer, parents and students. Each needs their own sign-in, and should see only what their work needs.

    Ask: what does each role see?
  3. See your own data in the demo

    Bring one class list and one term’s fee list. Ask the vendor to set them up in front of you, on your grading scale.

    Ask: can we watch it done now?
  4. Check what happens without internet

    Ask what keeps working in the exam hall, at the gate and at the tuck shop when the connection drops. Then ask how records reach the cloud afterwards; an on-site server is one answer.

  5. Get the full price in writing

    One figure for a full session, for your student numbers and modules. Include set-up, training, staff and parent accounts, and renewal; our article on what school software costs in Nigeria explains each.

    Ask: what is not in this figure?
  6. Ask how your records move in, and out

    Find out who brings your students, parents and balances across, and who checks the counts. Then ask how you would get everything out again (see how switching works).

  7. Start with one term, then widen

    Go live with the jobs you named in step one. Add the rest once staff are comfortable.

Print it for each demo. Tick what you see on screen, not what you are told.

Records and results
  • Scores are entered once, and results are computed from them.
  • Report cards carry the school’s name, logo and grading scale.
  • Each section or level has its own classes, subjects and terms or semesters.
  • Parents can read results on a phone.
Fees and money
  • Bills are raised for a whole class at once.
  • An online payment lands against the right bill.
  • A refund needs more than one person’s approval.
  • Every change to a bill is kept on record.
Access and safety
  • Every person has their own sign-in.
  • A role sees only what its work needs.
  • There is a record of who changed what, and when.
  • Access can be switched off on the day someone leaves.
Internet and equipment
  • Exams carry on when the internet drops.
  • Attendance devices keep recording offline.
  • Records reach the cloud once the connection is back.
  • The vendor lists the equipment the school must buy.
Price and contract
  • The full price for a session is in writing.
  • Charges for staff and parent accounts are stated, or there are none.
  • Set-up and training costs are stated.
  • The contract says how to leave, and how the data comes out.
Support
  • The demo used our own class list and fee list.
  • We know who to call, and at what hours.
  • Training for new staff is covered.
  • The data is backed up, and we were told how often.
